Property Maintenance Operative

We are recruiting a Property Maintenance Operative for an established and expanding Property Management, Sales and Lettings Company based in Nottingham City Centre.

About the role:

We are looking for a confident individual who can work well within our Maintenance Department.
Duties and responsibilities-
To carry our both reactive and planned works to residential properties – works to include minor plumbing, electrical works, joinery, decorating, flooring etc. Operative are expected to work clean / clean up after works. Operatives are required to liaise with clients. Some travel will be necessary – mileage paid. Excellent attention to detail.

About you:

You should have experience in the following:
Minor electrics Plumbing Decorating
Full clean UK Driving Licence is essential
You will need to have excellent communication skills and excellent customer service. You will need to be professionally presented and be able to provide the best representation of the company at all times.

Job Type: Monday to Thursday 9.00 – 5.00 Friday 9.00 – 4.00 approx
Additional hours available if requested

You will create a welcoming, friendly and courteous environment for our residents, and be passionate about delivering customer service to the high standards we strive to achieve.

You will also carry out the tasks required to ensure that the building is well maintained for our customers and clients; and that as a business we can demonstrate full compliance with both our statutory obligations and our own systems.

Be the ‘Main point of contact’ acting as the link between the company, managing agent and the residents.

Be able to work alone in a confident and responsible manner using your own initiative in line with the Managing Agents requirements.

Be courteous, encouraging and respectful to residents, contractors and visitors on site at all times.

Be able to adhere to the Data Protection Act concerning confidential data held in the office, both paper and IT based.

Have good computer skills to be able to keep secure records in line with office procedures of the Managing Agents.

Have the ability to chair a meeting of residents in a confident and professional manner, document the outcome in the diary and act upon tasks if necessary.

Who you’ll report to;

Reports to the managing agents Property Manager.

What you’ll be doing:

The Residents – Maintain a professional high profile around the development and being available in the office. Ensure our residents are checked within our requirements which is the completion, daily, of a discreet register of vulnerable residents, informing next of kin of any concerns and calling the appropriate emergency services if necessary.

Make new residents feel welcome and help them settle in; where possible being present to welcome them. In the event of an emergency, call the appropriate authorities.

Provide advice and or assistance to residents in a confidential manner, helping new residents to know and understand the rules of living in this small community.

To only discuss company business with the Managing Agent or the clients directors and keeping all day to day business confidential from other residents.

The Building – Carry out daily checks ensuring the building, communal areas, garden and grounds are cleaned, maintained and secure to the highest standards.

Check the building, daily, both internally and externally regularly. Ensure the common areas are tidy, well presented and the internal temperature is ambient. Be aware of any property maintenance requirements, alerting the Managing Agent where appropriate.

Complete a standard form weekly, reporting the condition of the internal and external parts, (to be provided), forward to the Managing Agent, keeping a copy in the office.

Have a full understanding of the different types of equipment on site, being able to use it and advise others on its operation, if appropriate, also to ensure it is all fully operational, regularly serviced and maintained.

When work is required you will liaise with contractors monitoring progress to ensure it is completed in a timely and safe manner to the standards agreed and expected.

Instruct contractors against quotes obtained on agreement with the client and managing agent.

Being aware of Health and Safety regulations and informing the Managing Agent of any concerns.

Schedule all Health & Safety visits, reports, inspections etc. to ensure that deadlines are not missed.

Monitoring, testing and recording of such, of fire systems, emergency call systems as a priority.

Scheduling all other statutory maintenance requirements to ensure that deadlines are not missed.

Monitor contractors on site whilst working in the communal areas.
Be aware of contractors working within residents apartments to ensure health and safety is adhered to in the communal areas.

Dealing with suppliers to the site in a courteous and professional manner at all times.

Keep details of any new fob entry system, maintain records of only those who should have access, program fobs, delete unauthorised people and seek consent to sell additional fobs.

Read all utility meters and report to the suppliers on the last day of each month or as near to the relevant working day.

Customer Service

Act as an Ambassador for the business at all times, delivering an exceptional level of service to all our clients and customers.

Encourage and support the formation of any residents group and work with them to enhance the customer experience for residents.

Help build a sense of community by encouraging and supporting a Social Committee to plan and run social events for all residents.
Take the leading role in supporting any social activities.

In the absence of a Social Group, help build a sense of community by organising and running events such as a regular coffee morning as a way of informing residents of any important issues on site.

Building and maintaining links with next of kin, local authorities; Doctors, Social Workers, Health Authority etc. as required and appropriate.

Deal with residents in difficult or sensitive situations in a positive manner trying to resolve as soon as possible.

Be available in the office at set times of the day for the residents. Make residents aware of the times using the office whiteboard as a noticeboard.

Legal & Leasehold – Be vigilant of any breaches of rules and regulations as contained in the lease and any tenancy changes, and advise your Property Manager.

Administration and finance – maintain all manual and computer records in line with our administrative and financial procedures.

Collect payment for any development sundry income – bookings for the guest suites, communal lounge, washing machine tokens etc. – and bank them as soon as possible when they reach £50.

Ensure all data, saved on manual systems and on IT equipment is protected and kept secure at all times.

Insurance Claims

Liaise with the resident and signpost them to the Managing Agents office. Email the Property Manager with an update.

Property Sales – Assist in the re-sale of properties. Accompanying local Estate Agents when on site, ensuring prospective new residents are aware of the administrators involvement within the communal areas of the building and the lifestyle promoted at the complex.

Permissions for Works

From time to time, residents will wish to obtain permission to carry out works in the flat. Information to be gathered, assessed and permission given if appropriate.

Use initiative as to when the client and managing agent should be informed of matters.
