Meter Readings

To request a meter reading, please fill in the form on your main entrance noticeboard. If your building does not have a noticeboard form, please use the Walton&Allen app or click here to request one via our website.

Refuse Collection

The bins are collected weekly on Tuesdays.

Large Item Collection

If you have larger items that cannot be disposed of in the bins please contact Nottingham City Council on 0115 915 5555 to arrange a FREE collection.

  • Out of Hour Emergency Line: In the event of an emergency please call the office on 0115 924 3304/0115 924 1813 the answer phone message will give you the current emergency call out number. Please note if the call out is deemed not to be an emergency or to be the fault of the tenant then you may incur a charge for the call out. 
  • Gardening: Our gardening contractors are on-site fortnightly from April to October and monthly from November to March.

The architects have attended site today to take photos in preparation for the tendering stage.

External Car Park Light

We are aware that the car park light under the Cedar Tree is out. Walton&Allen’s Roaming Caretaker tried to address this issue on their last visit but unfortunately the light cover was stuck so they were unable to remove it. Walton&Allen’s Roaming Caretaker has attended site today as part of their regular visit and met an electrician on-site to try and address this issue without damaging the light cover as a match would be difficult or impossible to find. The cover was successfully removed with no damage caused. Walton&Allen’s Roaming caretaker changed the bulb and the electrician had to replace the electrical cable which had faulted. This light was left in full working order.

Following our comment earlier today, Walton&Allen’s Roaming Caretaker attended site today as planned. On top of their usual duties, they also cleaned and dusted the external entrance to Block 1-4 including the sign, following comments from the Property Managers last visit. This has made a vast improvement aesthetically.

Building Insurance

Following our comment on 14.03.17 and approval from the Directors, our insurance broker has been instructed to proceed with the 2017 Insurance renewal which has reduced from last years.

Following correspondence from our insurance brokers regarding the building insurance shortly due for renewal, we have sent this renewal quote over to the Directors of The Cedars (Nottingham) Management Company Ltd for their approval.

Roof Works/Leak Affecting Apartment

Following direction from the Directors, an email has been sent to all leaseholders re-arranging a meeting.

2017/2018 Budget

Following our comment on the 6th March and the approval from the Directors of The Cedars Management Company Ltd, the 2017/18 Budget has been sent out to all Leaseholders today.

Fire Panel Test

Walton&Allen’s Roaming caretaker has attended site today and carried out the fire panel test.

Roof Works/Leak Affecting Apartment

An email has been sent to the Directors with a cost budget for the agreed area of works for their consideration and director to go forward.

2017/18 Budget

Following our comment on 21.02.17, the Directors have replied with their comments and Walton&Allen have sent over a secondary draft budget for their consideration.

Walton&Allen’s Trainee Property Manager has spent the majority of today preparing a draft proposed 2017/2018 budget which has been sent to the Director of The Cedars (Nottingham) Management Company Ltd for their approval or amendments as required.

Roof Works/Leak Affecting Apartment

Following our comment on 27.01.17, RDA have attended site today and accessed the roof via the scaffold in place in order enable further survey information to be collected as they are currently working off areas from an original survey plan which will be inaccurate by approx. 20-25%. These detailed drawings will enable tender prices to be obtained.

Gardening

A 12 month gardening contract with the current gardening contractors Horizon Landscapes has been instructed today.

Roof Works/Leak Affecting Apartment

Walton&Allen have had a meeting with RDA today in relation to their costings for the chosen area of Wing A so Walton&Allen can invoice leaseholders. RDA will be sending over their part by end of play Monday 06.02.17. Walton&Allen’s Planner will then be putting together the costs as a whole by the end of the week.

Roof Works/Leak Affecting Apartment

Chris from RDA has advised that they require access onto the roof in order to enable further survey information to be collected as they are currently working off areas from an original survey plan which will be inaccurate by approx. 20-25%. Once they have completed this survey they can get started on the detailed drawings for tender to enable prices to be obtained.

Overgrown Russian Vine and Fence

Walton&Allen have chased the NHS on an update and time frames for the replacement damaged fence panels and the long term solution once the Foster Drive development has been completed.

Moss on Pathway

Following a recent visit to site by Walton&Allen’s Trainee Property Manager, it was noted that there is moss which has started to creep onto the pathway. We have contacted the gardening contractors who have confirmed they applied herbicide to the moss on their December visit, however they are on site this week so will attend to the moss on this visit.

Block 1-4 Door Closer

Unfortunately the door closer to the external Block 1-4 door failed over the Christmas period on 30.12.16 causing the door to slam thus disturbing residents. A member of Walton&Allen Maintenance attended site to find the internal cylinder had failed leaking oil. Our engineer isolated the door closer which immediately stopped the issue with the door slamming. A replacement door closer was required in which the Walton&Allen maintenance team found a suitable replacement. This replacement was authorised by the Directors of The Cedars (Nottingham) Management Company Ltd and fitted by Walton&Allen’s Maintenance team today.

Block 1-4 Door Closers

Following a report from a resident that the door block 1-4 door is closing too quickly and slamming, a Walton&Allen Maintenance operative attended site this afternoon to investigate and resolve this issue.

Salt/Grit within the Communal Areas

We would like to politely remind all residents that the responsibility for salting/gritting the communal areas is the responsibility of the residents. Please note; even if salt/grit has been provided by the management company, Walton&Allen or the management company take no responsibility for salting/gritting the communal areas.

BT Ultra-fast Broadband

Following our comment on 24.10.16, Walton&Allen Have received BT’s proposal. Unfortunately the only installation option available for this site is not suitable due to the fact the building is listed.

Site Visit

Walton&Allen’s Trainee Property Manager has attended site this morning and carried out a walk around inspection of the communal areas. They also met the contractor who slowed down the two communal entrance doors to Block 1-4 originally on 01.11.16 to adjust them following residents comments. Both entrance doors to this block have been adjusted to suit. The contractor also adjusted the bin store locking system to ensure it locked smoothly.

Block 1-4 Door Closers

Following reports from residents that both the internal and external access doors to Block 1-4 close far too quickly, a contractor has attended site with Walton&Allen’s Trainee Property Manager to adjust these door closers as required. These closers have been successfully adjusted and the doors shut at a slower speed yet still securely shut. The resident that reported this issue is happy with the adjustments. W&A’s Trainee Property Manager also carried out a site inspection.

BT Ultra-fast Broadband

Following our comment on 19.10.16, Map Group UK (on behalf of BT) have attended site today and carried out their survey. They will provide their report to ourselves determining if this site is suitable or not.

Walton&Allen’s Trainee Property Manager and Block Management Administrative Assistant have attended site this morning and carried out a walk around inspection of the communal areas.

BT ultra-fast Broadband

BT have been instructed to carry out a FREE survey of the site to see if they can propose a way of getting BT’s ultra-fast broadband to individual apartments up to speeds of 300MB. Map Group UK (who work on behalf of BT) will be attending site Monday morning to carry out their survey.

Estate Trees

FHP (who manage Cedars Estate) have advised us that reduction works are required to the Estates Holly Trees due to them obstructing light to certain flats. They are awaiting confirmation from the Council due to the Tree’s having a TPO and will advise a job date once they receive confirmation from the Council. The Directors of The Cedars (Nottingham) Management Company Ltd have been forewarned of their contribution cost.

Following our comment on 22.09.16, Walton&Allen’s Trainee Property Manager has received and collated all leaseholders availability requests and contacted RDA to find a suitable date for the meeting to commence. Once RDA have provided a date, all leaseholders will be informed. Leaseholders have been updated of this in the meantime.

Following our comment on 23.08.16, Walton&Allen’s Trainee Property Manager has chased the NHS on their comments regarding replacement fence panels. We will await their reply.

Following our comment on 03.10.16, Walton&Allen’s Trainee Property Manager has received a reply from RDA regarding their availability and an agreed date of 19.10.16 has been set for the meeting. All leaseholders have been contacted to advise them of the meeting date and venue.

Following our comments on the 14.09.16 & 20.09.16, we have now received quotes from both Empire & RAUK Scaffolding which we have forwarded onto RD Architects and what will be discussed with all Leaseholders at the meeting which is currently being arranged. One further scaffolding company has been contacting which we are awaiting to hear back from.

Following our comment on 15.09.16, Walton&Allen’s Property & Estate Director, Trainee Property Manager and General Manager has met with RDA today as previously advised. All parties felt it best that RDA meet with all leaseholders to fully explain the procedure, present their reports and cost plan in order to agree a plan of action with the Directors of the The Cedars (Nottingham) Management Company Ltd. Walton&Allens’s Trainee Property Manager has emailed all leaseholders today to ask their availability for this meeting week commencing 17th October 2016 in order to find a suitable date for all parties.

Following our previous comments, we have received the first draft of RD Architects (RDA) scope of works report which has been sent to all Leaseholders. We have gone back to RDA to request an executive summary of what stage we are at with reference to previously instructed stages. Walton&Allen’s Property & Estate Director has also got involved to try and explain the importance of RDA providing regular updates. Walton&Allen will also be looking into costs for a constructed roof area protection due to winter approaching.

Window Cleaning

The window cleaners have attended site today and carried out the cleaning of the windows.

Following our comment on 01.08.16, the NHS are currently liaising with the contractor used and will report back with their plan of action and in response to the fence condition.

Following our comment on 01.08.16, Walton&Allen’s Trainee Property Manager has contacted the architects to request what stage they are at with preparing the scope of works so that the leaseholders can be updated.

Walton&Allen’s Trainee Property Manager has been in deep discussions with the roofers that hire the access equipment to the building through their scaffolders and has managed to make savings to the building by the building purchasing some of the access equipment rather than paying a monthly cost which is more effective in the long run. The roofers have also expressed interest in buying these back once Cedars no longer require them which is even better.

Wasp Nest

Following our comment on 01.08.16, unfortunately the wasps have returned so our pest controller will be re-attending site today to resolve this issue.

Accounts

Walton&Allen’s Property and Estate Director has been working with the accountants to finalise the accounts for 2015.

Buddleia Plant

Following a report that there is a Buddleia bush on site that is blocking flat 6’s parking space, Walton&Allen have contacted the gardening contractors who have confirmed that they will prune back the bush when they attend site next week. They will also have a look at the best options for the maintenance of the bush to try and prevent it blocking the parking space in the future.

 

BT Survey

BT are going to be attending site and carrying out free surveys to determine whether it is eligible for free super fast BT broadband upgrades. We are currently awaiting a date that BT will be attending and will updated this page once this information has been received.

Service Charges – Advanced Demands

Walton&Allen’s Credit Controller has sent the Service Charges Advanced Demands to all leaseholders  today.

Wasp Nest

Following our earlier comment today, we have received confirmation from the pest controller that this matter has been dealt with accordingly.

Overgrown Russian Vine

Following our comment on 26.05.16, Walton&Allen’s Trainee Property Manager has chased the NHS on a response to them addressing the damaged fence panels following them cutting the Russian vine back on 28.04.16.

Following our comment on 21.07.16, Walton&Allen’s Trainee Property Manager has been copied into emails going back and forth between the Architects, Timber Specialist and Structural Engineer in order for the architects to collate all of their findings into one scope of works report.

Wasp Nest

A resident has kindly reported a wasp nest outside a bedroom window facing the main lawn. The pest controller has been informed and will be attending site today after 3:45pm.

Following our comment on 20.07.16, the structural engineer returned to site this morning as planned, along with B&S Roofing and WALTON&ALLEN’s Trainee Property Manager in order for the structural engineer to inspect the roof. The structural engineer will send their report direct to RD Architects who will liaise direct with them while looking at the timber specialists report in order to prepare a scope of works to present to the Directors/Residents.

Cedar Tree Works – Sunday 24th July 2016

Following our comment on 30.06.16,  Allsop Arb contractors will be returning to site on Sunday 24th July 2016 to further cut back certain branches as required to make safe. We would advise that Residents that they try and keep the spaces underneath this tree empty.

The structural engineer will send their report direct to RD Architects who will liaise direct with them while looking at the timber specialists report in order to prepare a scope of works to present to the Directors/Residents.

Tree Works Sunday 24th July 2016/Restricted Access

FHP who manage the estate have advised that on Sunday 24th July 2016 (this coming Sunday) Allsop Orb will be cutting back/reducing the overhanging trees that front Mansfield Road.

Allsop Orb have confirmed that access will be available to the sites entrance however some restrictions will be in place due to the temporary traffic lights and works being completed.

FHP and Allsop Orb apologise for the short notice but the Council only gave the go ahead today for the temporary traffic lights to be in place on Sunday. Due to the short notice, Allsop Orb will cut back as much as possible on Sunday and leave all the branches In the ‘wood’ area that fronts the site. They will then re-attend site at a later date to remove the branches and clear the site.

Walton&Allen’s Trainee Property Manager has been on-site the majority of this morning with RD Architects and the structural engineer to look at the current issues with the roof and gain access into the relevant apartment. The Structural engineer will be re-turning to site tomorrow morning to access the roof.

Following our comment on 12.07.16, Walton&Allen’s Trainee Property Manager has attended site this morning and collected the access keys that are required and confirmed the arrangements for tomorrows visit. Whilst on site the landlord supply meter reading was also taken and a light fitting that has recently been fitted in block 5-8 has been checked.

Following our comment below, FHP’s Ground Control Team are on-site chopping and removing the fallen branches from The Cedar Tree as per the picture below. FHP have advised that the tree requires further works in order to make safe and two further branches to be cut. Allsop Arb Contractors will re-attend site once they have obtained approval from the council.

Cedar Tree

The Directors of the Management Company (who are also residents at the complex) have kindly reported that several large branches have fallen from the Cedar Tree on the Estate grounds. Walton & Allen Trainee Property Manager has reported this to FHP who manage the estate. One of the Directors has also reported this.

Following our comment on 21.06.16, the RTM Directors have provided authorisation on the RDA’s stages 0-3 costs along with the structural engineers. Walton&Allen’s Trainee Property Manager has instructed RDA as required. We will now need to await a date that both RDA and the structural engineer can attend site together.

A finalised cost from RD Architects has been provided in order to get to a position of a scope of works. Walton&Allen’s Trainee Property Manager has sent an email to the RTM Directors today to advise the cost and a full explanation of the stages 0-3 that this cost involves along with the approx. cost for the structural engineers involvement.

First Contracted Fire System Visit

Following a change in contractor to further improve services to the building, PLP are on site today carrying out their first contracted visit to the emergency lighting and fire panel.

Site Visit & Caretaker 1 to 1

Walton&Allen’s Property and Estate Director and Block Management Administrator have attended site today to carry out a site visit and 1 to 1 with the roaming caretaker of the building. Fire panel training was also carried out on this visit.

Overgrown Russian Vine

Following our comment on 28.04.16, Following a recent site visit carried out by Walton&Allen’s Trainee Property Manager, the fence panels condition was noted therefore the NHS has been chased on an update.

Following our comment on 05.04.16, we are currently awaiting clarification on price from RD Architects to prepare the scope of works.

Insurance Document

In order to set up Directors Indemnity Insurance as required, the insurance requires one of the Directors to sign their proposal form. Due to the time frame this needs to be returned, Walton&Allen’s Trainee Property Manager has attended site on their way home to get this required document signed in order to email over to the insurers tomorrow.

Following our previous comments, Walton&Allen are still in correspondence with RD Architects to try and clarify a final figure that the Directors of the Management Company can approve in order to get to a position where a scope of works is prepared. Walton&Allen have explained to RDA the importance of having to get approval on all costs by the Management Company Directors beforehand.

Following our comment on 31.03.16, the overgrown Russian Vine will be cut back today. Can we please advise residents not to park their vehicles near this area whilst this work is being carried out. Arrangements have been made for the fence panels to be inspected after the foliage has been trimmed down and if any substantial damage has been done they will replace the panels that has been affected.

A member of the Walton&Allen Block Management Team met with a contractor on site to quote to re-render the external boundary wall.

Cherry Tree Roots – approx. 3:00pm

Following our comment below, Walton&Allen’s Trainee Property Manager has met both the gardeners and one of the Directors on-site in order to look at the Cherry Tree roots (outside block 1-4) and provide their recommendations.

Following concerns raised about the Cherry Tree’s roots (outside block 1-4) affecting the building at the recent budget meeting, Walton&Allen’s Trainee Property Manager has been in discussions with the gardening contractors Horizon and has a arranged a meeting with them to attend site on Tuesday 05/04/2016 to look at this issue and quote as required.

Walton&Allen’s Trainee Property Manager has contacted the NHS/redevelopment of Foster Drive in relation to their overgrown Russian Vine that is affecting the Cedars fence. A reply has been received advising that the relevant contact will be in touch with us about this issue.

Our gardening contractors have attended site today and carried out their contracted maintenance visit which included trimming the top of the Russian vine on the driveway fence.

Following approval from The Cedars Directors for B&S Roofing’s quote, B&S Roofing will be attending site on 11.03.16 to carry out the exterior temporary repairs to the roof above the affected apartment as advised by the surveyor. B&S Roofing will then be attending the affected apartment on 14.03.16 to fit acro props under the roof space and crawl boards within the roof space in order for safe access for the timber specialist to carry out a timber survey.

Following our comment on 23.02.16, Walton&Allen’s Trainee Property Manager has attended site this morning with B&S Roofing, a surveyor from Rayner Davies Architects (RDA) and a timber specialist from Proten Services with the intention of accessing on top of the roof. Unfortunately due to heavy rainfall, this was not possible. All parties therefore accessed the affected apartment and managed to solve a leak affecting the kitchen via a temporary repair. The surveyor from RDA gave B&S Roofing their recommendations in order to carry out a successful timber survey via the roof space and we are currently awaiting a quote from B&S Roofing to reflect these items.

Budget Meeting

Walton&Allen’s Property & Estate Director, Property Manager and Trainee Property Manager have attended a Budget Meeting with both the Directors of the Management Company and Leaseholders to agree the 2016/17 Budget.

Recycling Bins

Following comments from residents, it has been agreed to order an additional recycling bin for the site (resulting in a total of 3 recycling bins). This extra bin has been ordered from Nottingham City Council and is expected to be delivered to site in 1-2 weeks.

Walton&Allen’s Trainee Property Manager attended site this afternoon with a timber specialist from Proten Services in order for them to carry out a timber survey in the roof space of the affected apartment. Unfortunately due to the lack of safe access for the surveyor, they have advised us to arrange a further appointment to access these timbers via accessing the top of the roof.

Site Visit

Walton&Allen’s Trainee Property Manager attended site this morning and met a contractor to carry out the following agreed quoted works:

  • Adjusting and improving the bin store bolt lock to ensure it closes easier so residents are encouraged to lock the door after use
  • Removal of the old unused garden shed stored within the bin store.

W&A Trainee Property Manager also gained access into a flat affected by the roof leak to check the current status.

Following our comment on 10.02.16, our new gardening contractors Horizon Landscapes are on site today to carry out their first contract gardening visit. One of their main objectives was to concentrate on the pathway moss.

Clearing Debris of Roof

A Walton&Allen maintenance engineer is attending site today to clear the debris off the roof and the outlets, following RDA’s advice.

Gardening Contractor

Following our comment on 01.02.16, Horizon Landscapes will be attending site this Friday 12.02.16 to carry out their first contracted visit. They will also be attending site on Friday 19.02.16 to complete a one off job to the issue with overhanging shrubs affecting the main estate driveway path.

Walton&Allen’s Trainee Property Manager has attended site this afternoon to obtain a communal landlord supply meter reading for the electricity supplier. They also carried out a walk around inspection of the complex.

New Gardening Contractor

A new gardening contractor has been instructed. The directors have made the decision on a new gardening contract and have approved Horizon Landscapes, who have been instructed. We are now just awaiting commencement dates.

Roof Repair

B&S Roofing are on-site today to start the roof repair. As this job is weather dependent, they are not too sure what days they will be attending this week, but they hope the job will be complete by the end of this week.

Scaffolding

Following our comment on 25th January 2016, the scaffolding has been erected this morning in order for the roof repairs to be carried out, commencing on Monday 1st February 2016.

Following our previous comments, a meeting with RDA and Walton&Allen has been arranged for 02.02.17. Both the Directors of The Cedars (Nottingham) Management Company Ltd and Leaseholders have been updated.

Roof Repair and Scaffolding

Following agreement and authorisation from all the Leaseholders, the roof repair needed that is currently affecting apartment 4 has been authorised.

Scaffolding will be erected on site on Monday 25th January and B&S Roofing will be on site from  Monday 1st February. B&S Roofing have informed us that if they can attend at a sooner date they will do as the scaffolding will be there ready.

Walton&Allens Trainee Property Manager has attended site and met a representative from Nottingham City Council to discuss the option of replacing and improving the current communal waste bins that are in place.

Communal Gardening

Unfortunately due to the previous gardener, Phil Thomas from PJ Thomas Garden Services, retiring in December 2015 after a long service to The Cedars, Walton&Allen’s Trainee Property Manager has attended site and met with a potential new contractor to obtain a quote for their services with one of the Directors of The Cedars. We are in the process of obtaining a quote from an additional contractor. Once we have received the quotes they will be put forward to the Directors of the RTM to make a decision on who they award the contract to.

After meeting with the potential contractors Walton&Allen’s Trainee Property Manager had a meeting with the Director regarding the general maintenance of the building and site and also carried out a walk around inspection.
